These policies are in place to support a safe, respectful, and professional healing environment for all clients.

1. Purpose

This Privacy Policy explains how Natural Qi – Traditional Chinese Therapies (“we”, “us”, or “our”) collects, uses, stores, and protects your personal and health information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We are committed to maintaining your confidentiality and ensuring that your information is handled securely and lawfully.

 

2. Information We Collect

We may collect and store the following types of information:

  • Personal details: Name, address, contact number, email, date of birth.

  • Health information: Relevant medical history, injuries, allergies, and other details required to provide safe massage treatments.

  • Appointment and payment details: Booking records, invoices, payment type (no card details stored by us directly).

  • Communication preferences: Newsletter or promotional consent (in line with the Spam Act 2003 No.129).

 

3. How We Collect Information

Your personal and health information may be collected via:

  • In-person consultations and consent forms

  • Email, phone, or SMS communications

  • Appointment booking forms

  • Payment and invoice records
    All data is collected with your consent and only for professional purposes.

 

4. How We Store and Protect Information
Client information is stored securely using the Halaxy practice management system, as well as on paper intake forms where required.

  • Digital client records are stored within Halaxy, a secure, password-protected practice management platform.

  • Access to client information is restricted to the practitioner only.

  • Paper client intake forms with signed consent are stored in a lockable file drawer.

  • All reasonable steps are taken to protect both digital and physical records from unauthorised access, loss, misuse, or disclosure.

  • Confidentiality and security measures are maintained at all times in accordance with privacy obligations

 

5. How We Use Your Information

We use your personal and health data to:

  • Provide safe and appropriate Tui Na massage treatments

  • Maintain accurate health and treatment records

  • Schedule appointments and manage communications

  • Process payments and issue invoices

  • Send appointment reminders, follow-ups, and marketing communications (with consent)

  • Comply with health, insurance, and legal obligations

 

6. Disclosure of Information

We will not sell, rent, or trade your personal information.
Your data may be shared only in the following situations:

  • With your consent (e.g., referral to another practitioner)

  • As required by law, court order, or professional regulation

  • With authorised service providers who comply with Australian privacy standards.

 

7. Data Retention

We are required by law to retain client records for a minimum of 7 years after the last treatment (or longer for minors), as required by the Health Practitioner Regulation National Law (QLD) and related regulations. After this period, records are securely deleted or destroyed.

8. Your Rights

Under the Privacy Act 1988, you have the right to:

  • Access your personal or health information

  • Request corrections to inaccurate or outdated data

  • Withdraw consent to data use (where applicable)

  • Lodge a complaint if you believe your privacy has been breached

9. Marketing and Communications

In accordance with the Spam Act 2003, marketing or promotional messages will only be sent with your explicit consent. You can opt out at any time by clicking “unsubscribe” or contacting us directly.

​11. Consent to Treatment

By booking or attending an appointment, you acknowledge that:

  • You have provided accurate and relevant health information.

  • You understand the nature of the treatment being provided.

  • You have the opportunity to ask questions before and during treatment.

  • You give consent to receive treatment.

You may withdraw consent at any time.

 

12. Cancellation Policy

We understand that life happens and you may need to reschedule or cancel an appointment. To respect the time of both the practitioner and other clients, the following policy applies:

  • A minimum of 24 hours’ notice is required to cancel or reschedule an appointment.

  • Cancellations made less than 24 hours before the appointment may incur a 50% cancellation fee.

  • Exceptions may be made for illness or emergencies at the practitioner’s discretion.

 

13. Late Arrival Policy

  • If you arrive late, your treatment time may be shortened to avoid delaying the next client.

  • Full session fees still apply for late arrivals.

 

14. Payment Policy

  • Payment is required at the time of service unless otherwise arranged.

  • Accepted payment methods:

    • Cash

    • PayID bank transfer

    • Visa, direct debit, no AMEX

  • Prices are displayed on the website and may be updated from time to time.

  • Refunds are not provided for completed treatments.

 

15. Hygiene and Infection Control

To maintain a clean and safe environment:

  • Hands are washed before and after each client.

  • Fresh linens and towels are used for every session.

  • Treatment surfaces and tools are cleaned between clients.

  • Single-use items are disposed of safely.

  • The treatment room is kept clean and well ventilated.

 

16. Code of Conduct

Natural Qi is committed to a safe and respectful environment.

Practitioner commitments

  • Act with honesty, integrity, and professionalism.

  • Maintain confidentiality.

  • Provide safe, respectful, and ethical treatments.

  • Work within scope of practice.

Client expectations

  • Treat the practitioner with respect and courtesy.

  • Provide accurate health information.

  • Follow safety instructions during treatment.

Sexual misconduct, harassment, or inappropriate behaviour will not be tolerated.
